Introduction

Classic Rent Solutions ("we," "our," or "us") is a residential property management company operating apartments across Ohio, Mississippi, and Illinois. We are committed to protecting the privacy of everyone who interacts with our website and services.

This Privacy Policy explains what information we collect when you visit classicrentals.com, submit a contact form, or inquire about our apartments — and how we handle, use, and protect that information. By using our website you agree to the practices described here.

Information We Collect

We collect information in two ways: information you give us directly, and information collected automatically when you use our site.

Information you provide:

  • Name, email address, and phone number when you submit a contact or inquiry form
  • City of interest and subject of your inquiry
  • Any details you include in a message or maintenance request
  • Account credentials if you create a tenant or management portal login

Information collected automatically:

  • Basic browsing data such as pages visited, time on page, and browser type (via standard server logs)
  • IP address for security and fraud prevention
  • Referring URL if you arrived from another website

How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and contact form submissions
  • Schedule tours and follow up on apartment applications
  • Show you listings that match your stated city and bedroom preferences
  • Send transactional messages related to your application or tenancy (not marketing spam)
  • Improve our website and identify technical issues
  • Comply with legal obligations as a property management company

We do not use your information for automated decision-making or profiling. We do not build advertising profiles based on your browsing behavior.

Information Sharing

We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:

  • AppFolio — our property management software provider. If you apply for an apartment or become a tenant, your contact details and application information may be transferred to AppFolio for lease processing and tenant account management. AppFolio's own privacy policy applies to data stored in their system.
  • Service providers — companies that help us operate our website and infrastructure (such as Supabase for database hosting). These providers are bound by confidentiality agreements and may not use your data for their own purposes.
  • Legal requirements — if required by law, court order, or government authority, we may disclose information as necessary to comply with applicable legal obligations.

Cookies and Tracking

Our website uses minimal cookies. We do not use third-party advertising networks or cross-site tracking cookies. Specifically:

  • We may set a session cookie to preserve your preferences during a single visit (such as a city filter selection).
  • If you are a signed-in tenant or staff member, an authentication token is stored in your browser to keep you logged in.
  • We do not use Google Ads, Facebook Pixel, or any similar advertising tracking technology.
  • We do not use analytics services that sell or share data with advertising networks.

You can disable cookies in your browser settings. Doing so will not prevent you from browsing our public listings, but may affect functionality in the tenant or management portal.

Data Security

We take reasonable steps to protect your information from unauthorized access, disclosure, and misuse. Our security practices include:

  • All data transmitted to and from our website is encrypted via HTTPS/TLS.
  • Contact form submissions and lead data are stored in Supabase, a cloud database platform with encryption at rest and row-level security controls.
  • Access to the management portal is restricted to authorized staff with role-based permissions.
  • We periodically review our security practices and update them as needed.

No system is perfectly secure. While we do our best to protect your data, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately.

Your Rights

You have the right to know what personal information we hold about you, to request corrections, and to ask us to delete your data. Specifically, you may:

  • Access — request a copy of the personal information we have collected about you.
  • Correct — ask us to update or correct inaccurate information.
  • Delete — request that we delete your personal information, subject to any legal obligations that require us to retain certain records.
  • Opt out of communications — unsubscribe from any non-transactional emails we send by using the unsubscribe link or contacting us directly.

To exercise any of these rights, email us at privacy@classicrentals.com. We will respond within 30 days.

Children's Privacy

Our website and services are directed at adults who are 18 years of age or older. We do not knowingly collect personal information from children under 18. If you believe a child has submitted personal information to us, please contact us at privacy@classicrentals.com and we will promptly delete it.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make changes, we will update the "Last updated" date at the top of this page.

We encourage you to review this policy periodically. Continued use of our website after changes are posted constitutes your acceptance of the updated policy. If we make material changes that significantly affect how we handle your data, we will make reasonable efforts to notify you.
